Job Title: Replenishment Officer – Ashford Department Supply Chain Reports to: Supply Chain Manager Salary: £30,000 – £33,000 per annum Job Summary This role will be responsible for the general day to day admin within the Supply Chain department. Excellent communication across all departments is key, both verbal and written. Teamwork * Build good relationships within the department, Ardo UK, and Group. Communication * Timely delivery of information/reports to Supply Chain Manager and across the Ardo Group. Strategic * Achieve department objectives. * Assist Supply Chain Manager to ensure all aspects of Ardo stock (packed and raw materials) are ordered in a timely manner to ensure that all the customer service level requirements are met. Analytical * Ensure all reports are accurate and issued on time. Responsibilities & Expertise Supporting the current Admin team when there is holiday, training, or absence, for the following duties as and when needed. * Replenishment – placing orders for product (frozen vegetables/fruit and herbs) across all group sites and for external suppliers. * Monitor shortages of supplies across all the lines and ensuring that stock is arriving on time to meet demand. * Liaise closely with customer services in terms of dealing with all customer enquiries. * Monitor purchase requisitions – reviewing proposed purchase orders. * Monitor supplier confirmations regarding delivery dates. * Monitor purchase orders. * Create delivery plans for all ICO (inter-company) sites. * Close down outstanding items on live purchase orders. * Process 3rd Party purchase orders – ie follow up and purchase requisition conversion, post the receipt when despatched, arrange return if necessary. * Investigate and reconcile any invoice anomalies, and the approve invoice. * PIR (purchase info records) – inputting data on SAP system regarding supplier, pricing etc. * Maintain a shortage list on a daily basis for products that have issues with supply. * Monitoring a report SAP on a daily basis, for any outstanding purchase orders that have not been received and receipted, and chasing up suppliers. * Cover for Transport and Logistics planner – ie organising transport, issuing freight numbers and updating SAP to reflect this. * Ad Hoc duties covering both departments as and when required. * Supporting and covering certain elements of the Supply Chain Managers role (eg production planning, monitoring and rotation of slow-moving stock, and other duties to be defined. Please note that this list is not exhaustive and will be subject to workload at the time. Compliance * Maintain a full understanding of the legal requirements required within the department and also within the business to be able to operate with full legal compliance. * Personally comply with all policies, procedures, and risk assessments to role and responsibilities Qualifications and Experience * SAP experience is preferred, although training will be given. * Computer literacy (Outlook, Word / Excel etc) is essential. * A minimum of 2 years’ experience in a similar role is required.
