Marine Administrator

Job Summary

The Marine Administrator will assist the Marine & Quality Manager and Technical Director in delivering the administrative aspects of the organisation\’s Marine and Lifting work programmes.

The Marine Administrator will work closely with all members of the Marine team as well as with other members of the Technical Team as required.

Key Responsibilities

  • Provide support for assigned Marine and Lifting committees and workgroups, including preparing agendas and minutes, attending meetings and accurately documenting the action items.
  • In liaison with the Technical Adviser, prepare the draft Table of Contents for any new technical guidance documents and Information Notes.
  • Provide administrative advice to assigned committees, workgroups and the wider membership.
  • Diary administration
  • Provide support to members on non-technical enquiries received by email and phone.
  • Where appropriate, support Marine and Lifting work streams
  • Assist in preparing the technical programmes for Marine and Lifting seminars, workshops, and other events, including chairman and speaker liaison.
  • Travel nationally and internationally, as required, to support at appropriate meetings and events.
  • Assist with the application process for accreditation candidates.
  • Support the administration of the Dynamic Positioning practitioner accreditation and Continuous Professional Development (CPD) schemes.
  • Upkeep of FAQ’s and maintenance for the CPD schemes
  • Preparation of course content for CPD UK submissions and course accreditation
  • Proofreading of documentation
  • Presentation Library Management
  • Other ad hoc duties as assigned by senior management

Skills & Experience

  • Knowledge of general marine operations.
  • Experience and knowledge of offshore marine operations.
  • Experience in shipping and international offshore construction (technology, operations, projects and companies).
  • Proactive and self-motivated, with a drive for results.
  • Structured and systematic approach to work tasks.
  • Advanced communication skills (written and verbal).
  • Well-developed interpersonal skills to be able to work with groups of various expertise and seniority.
  • Ability to deliver work that is correct, logical and well-argued.
  • Skills in representing and promoting the work of the client
  • Attention to detail.
  • Skills in Microsoft Office – Word, Excel, PowerPoint
  • Good organisational skills and ability to prioritise and work to tight deadlines.
  • Able to work well in a team environment and independently

Remote role but with travel requirements to office sites (Aberdeen/London) & global seminars when required. Travel is known in advance but can be up to twice a month and for 2-3 days at a time on occasion.
