Job Brief:
A unique opportunity has arisen for an experienced Media Operations & Project Coordinator to join Unitas Global Advisory, a specialist global PR and Strategic Communications Agency leading high-impact campaigns. Working with governmental, intergovernmental, charity, and corporate clients such as the United Nations, Amnesty International, Barclays Wealth, and the US State Department, Unitas offers staff exposure to a global client base with significant influence on world affairs.
This position sits within the Media & Communications Department, initially in the Opinion & Thought Leadership Division, but is designed to support the department’s growth as it expands into News & Features. You will work closely with the Head of Opinion & Thought Leadership and the Director of Research & Communications, alongside media writers and communications officers, to develop and manage operational processes that support targets and deliver campaigns across opinion, news, and features. As a global firm, Unitas requires comfort in working with editors and databases across multiple jurisdictions, particularly in the UK, Europe, and North America.

You will manage core operations to ensure the Unitas media team functions smoothly, including communications with media outlets. You will oversee the email pitching system, liaise with editors to manage the pitch cycle from start to publication, and maintain databases of media editors, reporters, and contacts. This includes tracking pitches, commissioning, editing, and publication, ensuring Unitas and its authors respond promptly to meet targets and deadlines.
Given that editors operate in different time zones, you will need flexibility and dedication to ensure tasks are completed at the highest standard, even outside normal working hours. You will quickly master media database platforms such as Cision, Roxhill, and Meltwater, making informed judgments on their effectiveness and utilising multiple platforms when necessary for efficient campaign execution. You will manage and coordinate editor and reporter databases based on client needs, particularly for opinion and news pitching.
You will craft professional communications for media professionals at different levels and in various publications, helping Unitas media team members cultivate relationships with editors and reporters. Additionally, you will train team members to use relevant software and systems, ensuring smooth integration into daily operations.
Beyond external media coordination, you will establish and manage internal operational processes within the Unitas media team. This includes maintaining internal spreadsheets to track media deliverables, placements, and projects, updating task management work-streams, and monitoring individual workflow spreadsheets. You will have a deep understanding of available project management tools and will implement those best suited to Unitas’ workflows. You will attend regular team meetings, take accurate and detailed minutes, coordinate team activities, and schedule meetings across team members’ calendars.
You thrive in a fast-paced, high-pressure environment, ensuring operational efficiency even amid multiple urgent media deliverables across various client accounts. You take a proactive, solutions-oriented approach and can work independently while maintaining regular contact with team members and senior managers.
We are looking for a highly competent, adaptable, and reliable individual with the drive and passion to meet tight deadlines under pressure—sometimes under close supervision, other times independently—while remaining flexible to shifting client demands.
Preferred
You will be skilled in managing and tracking third-party accounts as part of the email pitching process. As a media professional, you will have a strong interest in news and current affairs, particularly in relation to Global North-South and West-East relations. You will support media deliverables by conducting relevant research, contributing to content creation, ideation, pitching, and proposals. You will also monitor major stories and media trends to inform strategy. Additionally, you will help organize networking events and media outreach initiatives to strengthen relationships between Unitas media team members and external editors and reporters.

Salary: £28,000 – £35,000 (depending on experience)
Working Time: Mon-Fri, 09:30 to 17:30; unusual hours will also be necessary to manage projects in different time-zones; flexible/hybrid working options available

Responsibilities:
- Manage Email Pitching System: Daily management of company email pitching system which includes Mail Merge and Gmass (prior knowledge of these systems is not necessary but we will prioritise candidates who have this skillset).
- Collaborate With Communications Team: Assist in ensuring a unified, proactive strategy across all communication and engagement efforts, including materials, campaigns, initiatives, and publications – constantly updating the Head of Comms and the wider team on progress.
- Media Placement Management: Oversee the end-to-end process of sending pitches and op-eds, ensuring timely and effective delivery to media outlets and constant communication with wider team.
- Media Database Management: Take charge of manually updating our media database using tools like Meltwater, Roxhill, and Cision, ensuring accurate and up-to-date contact and outlet information.
- Regular Reporting & Project Management: Providing daily reporting on the status of various media priorities to the Head of Communications and the wider Comms team; this includes tracking all ‘media hits.’
- Email Correspondence: Efficiently handle email responses from media contacts and outlets, facilitating clear and productive communication with little input.
- Supportive Research: Assist in conducting thorough research to support pitches, content creation, and strategy development.
- Media Monitoring: Keep a vigilant eye on media outlets and calendars for coverage relevant to our clients and industry trends, ensuring we stay ahead of the curve.
- Manage Media Contacts: Regularly update media contacts through networking and leveraging systems like Cision, Roxhill, or Meltwater, maintaining a robust network of media relationships.
- Stakeholder Tracking: Maintain meticulous records of stakeholder communications and interactions, ensuring we stay aligned with client & media needs.
Qualifications:
- Bachelor’s degree or equivalent.
- At least 3 years of experience in operations, administration, project management in a media, PR or communications setting.
Skills & Attributes:
- Administrative Excellence: Highly organised with meticulous attention to detail, particularly when updating databases, managing email systems, and coordinating tasks.
- Technical Proficiency:
- Experience with tools like Asana, Gmass, Meltwater, Mail Merge, Cision & Roxhill.
- Strong understanding of database management & CRM tools.
- Familiarity with social media management tools and SEO practices is an advantage.
- Media Savviness:
- A good understanding of the media landscape, especially in the UK, US and Europe. as well as in international markets.
