We\’re recruiting for a driven and dedicated Deputy FM Manager to join our Facilities Management (FM) team at HMP Doncaster – a category B local resettlement prison situated in South Yorkshire, housing a male population of up to 1145 individuals, approximately 200 of whom are young offenders aged 18-20.

The Deputy FM Manager reports to the FM Manager and is responsible for the day-to-day organisation of work and the allocation of tasks in support of the FM Manager, responsible for the tracking of work progress, stock management, and ensuring that planned and reactive maintenance plans meet the needs of both the operational demands of the establishment as well as the contractual requirements set by the customer. The role acts as the link between the skilled and semi-skilled trades that report to the role and FM management

The main duties of this role involve:

  • Assist in the development of maintenance plans that ensure that the establishment is safe and compliant both with statutory requirements and with the requirements of the contract;
  • Plan and programme maintenance activities according to the SFG20 programme held in the CAFM system and prioritising work in a hierarchy of safety, compliance, and contractual requirements;
  • Provide appropriate challenge and assurance to ensure that work is delivered to the highest standards;
  • Allocate work according to the demands of the maintenance plan to trades and staff on a daily basis. Track, monitor and manage the progress of work and productivity of staff to delivering the daily work plan.
  • Ensure that tools and equipment are regularly inspected and are used in accordance with manufacturers\’ specifications.
  • Oversee the work of contractors and ensure that they are behaving in a manner consistent with the risk assessments and method statements and that their work quality is regularly assessed and audited;
  • Provide first line leadership (in line with Serco\’s Governing Principles) such that all employees under the post holder\’s supervision understand the tasking which the post holder is responsible for allocating, and are actively monitored and managed to ensure high levels of productivity;
  • Monitor spend and financial commitments in line with policy and guidance, produce spend data as and where required. Purchase spares and equipment required for the delivery of maintenance in the contract in line with procurement practise and procedures.
  • Monitor an authorise overtime in line with current policies.
  • Maintain and seek to improve the safety culture and health/wellbeing within the team. Foster a culture within the team that reflects Serco\’s core values of Trust, Care, Innovation and Pride
  • Within the remit of delegated authority, make decisions on operational matters and deputise in the absence of the Facilities Manager to ensure that all planned and reactive works and other aspects of FM are delivered.
  • To be a team member of the Facilities \’out of hours\’ call out roster.

What you\’ll need to do the job

This is an opportunity for an individual who has experience both in operational and management roles, with a wide exposure to the total provision of FM services and building infrastructure gained, preferably, in a custodial environment.

Firstly, you must be qualified as either an Approved Electrician (JIB) with 18th edition or with City & Guilds or equivalent or Fire and Security Systems Technician Level 3. It is important that they are qualified as an Approved Person for permitted work and understanding of how to manage contractors.

Operational knowledge and application of current Health and Safety environmental legislation, quality assurance controls and COSHH requirements is a pre-requisite and experience of CAFM systems

It is essential you have a strong working knowledge of SLAs and KPIs including their creation, concepts and management and have demonstratable experience of managing diverse teams of qualified, skilled, and semi-skilled staff.

Experience of managing workflow and supervising work to achieve desired outcomes in terms of quality and productivity.

PC literacy, use of Microsoft Word, Excel, PowerPoint and Outlook
